1. Put meeting dates on your personal calendar.
2. Read your folder or this blog to learn about the booth. Look through this blog to see photos from past years. DO NOT LOSE THE FOLDER. When finished with the folder, give it to the caper chair or put it in the C.A.P.T. mailbox in the office. Please add any info that will help next year's volunteer. You can add info to the blog by making a comment at the end of a post, and I will incorporate it - perhaps one day we won't need folders any more!
Folders and blog feedback will be due back by the second Friday in March.
3. Contact classroom teacher to give them your name(s) as chairperson for booth.
Schedule visits in classroom to determine a booth name, make decorations and posters.
Some classes like to do much of this on their own, others like to have you there a lot - talk to the teacher.
4. Determine booth name with classroom. Let the children help decide the decor. Remember to keep it simple and child-centered. Let them feel ownership of the booth. Here are some tips on decorating with kids.
Submit the booth name to the chair by the first Friday in February.
5. Recruit volunteers to make decorations for the booth with the class, set up Friday night, and run the booth on Saturday. Send home flyers in backpack express, make phone calls, and send emails to do so. Here's some advice on how to recruit.
6. Create a final volunteer schedule. Notify volunteers of shifts. See examples on this blog. If you have serious shortages, talk to the caper chairs (they can help fill in with high school volunteers or volunteers from other classes.)
7. Take an inventory of your booth games, props, and equipment in the caper closet. Carol, the secretary, has the key to closet.
8. Make a large banner with the booth name this will hang on wire above the booth or on wall behind the booth. Also make a table cover and other décor for your booth. Paper is available in the teacher work room. See the map of gyms for your dimensions, and look at past year photos for design ideas.
9. Make a ticket collection box/bucket for your booth. A one gallon ice cream bucket with small slit cut in top or a shoe box with small slit cut in lid work well.
10. If your game rewards prizes, make three prize containers. First place, second place and third place. The containers will be filled by the prize deliverer on Saturday morning.
11. Make poster with game rules and ticket price.
12. The class will make class promotional posters for the hall (1 to 4 posters only). You can hang in hall anytime two weeks before event. Use painters tape or masking tape please.
13. Keep receipts of booth expenses. Submit donation and expenses records to the treasurer for reimbursement.
All receipts MUST be turned in by the last Friday of March.
Tax ID number can be obtained from the treasurer for tax free donations.
14. Set up on Friday evening: lights out at 9:00 PM.
14. Fill out a booth report. That is, check this blog and see if additional notes about your booth should be added, to make the job easier for next year's volunteer.
